How to migrate from FXBO or any forex CRM without losing data
Moving from FXBO or another forex CRM? What to export, how to map clients, trading accounts and IB trees, and how to switch without losing a record.
Brokers rarely change CRM because of one missing feature. They change because the gaps between the CRM, the trading platform and the back office have grown into daily manual work: withdrawals reconciled by hand, IB commissions checked in spreadsheets, clients whose balance in the CRM does not match MT5.
What keeps them from switching is not the new software. It is the fear of losing data on the way: a client without their documents, an IB without their tree, a deposit that exists in one system and not the other.
This guide explains what a forex CRM migration actually moves, how to plan it so nothing is lost, and the mistakes that make a switch painful. It applies whether you are leaving FXBO, UpTrader, B2Core or a CRM built in-house.
What a forex CRM migration actually moves
A brokerage CRM holds more than contacts. Before anything is exported, list every kind of record your teams rely on:
- Client records: identity, contact details, status, source and owner
- KYC documents, verification results and expiry dates
- Links between each client and their trading accounts on MT4, MT5 or cTrader, with groups and account types
- Deposits, withdrawals, internal transfers and balance corrections
- Bonuses and credit given, with their conditions
- IB and affiliate hierarchy, referral links, commission plans and payout history
- Support tickets, notes, call records and communication history
- Staff users, roles and permissions
- Audit history: who changed what, and when
One thing that does not need to move is the trading history itself. Trades, positions and balances live on the trading server. What the CRM must carry across is the link between each client and their accounts, so the new system reads the same history from the same server.
Before you start: questions for your current vendor
Most of the risk in a migration is decided before the first file is exported. Ask your current provider:
- In which format can we export client, transaction and IB data, and is the export complete or only a summary?
- How are KYC documents exported: as files, with the link to each client kept?
- Can password hashes be exported, or will clients need to set a new password on the new portal?
- What is the notice period in our contract, and until when can we still access the system?
- Can we keep read-only access for a period after the switch?
Get the answers in writing. A CRM that can only export names and email addresses turns a migration into a re-onboarding project.
Step 1 — Inventory and ownership
Write down every record type above, where it lives today and who in your team owns it. Agree which data is moved, which is archived, and which is left behind on purpose, for example test accounts and leads that never converted.
Step 2 — Export and map
Export a full copy and map every field to its place in the new system: client statuses, account types, document categories, transaction types, IB levels and commission plans. Mapping is where most data is lost, quietly, when a status or a type in the old system has no counterpart in the new one. Each of those needs a decision, not a default.
Step 3 — Trial import and reconciliation
Import into a test environment first and check the result against the trading platform, not only against the old CRM. Every trading account should belong to the right client, and every client's deposits, withdrawals and balance corrections should agree with the balance operations on the trading server. Differences found here cost minutes; differences found after the switch cost client trust.
Step 4 — Rehearse with the people who use it
Let finance approve a test withdrawal, let compliance open a client's documents, let an IB log in and see their tree and commissions. If referral links change, plan redirects from the old links so partners keep earning from the links they have already published.
Step 5 — The switch
Choose a quiet window; for most forex brokers that is the weekend. Pause new approvals for deposits and withdrawals for the shortest time possible, export what changed since the trial import, import it, and reconcile again. Then point the client portal and IB area addresses to the new system and tell clients what, if anything, they need to do, such as setting a new password.
Step 6 — After the switch
Keep the old system available read-only, so any question about the past can be answered from the source. Reconcile daily for the first weeks. Close the old contract only when finance, compliance and your IBs have signed off.
Common mistakes
- Treating the migration as an IT task: finance, compliance and the IB desk must check their own data.
- Mapping statuses and types by default instead of by decision.
- Reconciling against the old CRM only, not against the trading server.
- Forgetting IB referral links that are already published.
- Switching mid-week while the market is open.
- Cancelling the old system before the first month-end has closed cleanly.
Moving from FXBO to relioops
We migrate brokers from any forex CRM to relioops free of charge.
From FXBO, the transfer is one-to-one: your data arrives as it was, record for record, with nothing re-entered by hand. From other CRMs, we map your current data onto relioops and check the result with you before the switch.
After the import, relioops checks balances against the trading platform automatically, so any mismatch shows up as a task to fix, not as a surprise at month-end. The CRM connects to MT4, MT5 and cTrader, and runs on your own servers or in an environment we run for you. Either way, the data is yours.
See what the relioops forex CRM covers, or book a demo and bring one client whose data your systems disagree on.
Migration checklist
- Every record type listed, with an owner in your team
- Export format and document export confirmed with the current vendor
- Password plan for the client portal decided
- Every status, type and IB level mapped by decision
- Trial import reconciled against the trading server
- Finance, compliance and IB desk have tested their own workflows
- Referral link redirects in place
- Switch window and approval pause agreed
- Old system kept read-only after the switch
- Daily reconciliation for the first weeks
