Forex Back Office Software: What It Should Do
What forex back office software should handle: onboarding, KYC, funding, trading accounts, IB commissions and reporting, and how to judge a vendor.
A forex back office is where the brokerage is actually run. Clients are onboarded and verified there, money is approved and reconciled, trading accounts are created and changed, introducers are paid, and the numbers management reads are produced. Good forex back office software makes all of that happen on one record. Poor software makes it happen in several places that have to be reconciled afterwards.
What a forex back office has to cover
- Client onboarding and KYC: registration, document capture, verification results and the resulting status
- Trading accounts: creating, grouping, changing leverage and moving accounts on the platform
- Funding: deposits and withdrawals, approvals, and agreement between the provider, the platform and the client record
- IB and affiliate management: referral structures, tracking and commission calculation
- Compliance records: who did what, when and why, with an audit trail
- User roles and permissions: each team sees and changes only what it should
- Reporting: client, funding and trading figures that match what the desk saw
Signs your back office is working against you
- The same client exists in the CRM, on the platform and at the payment provider, and the three do not agree
- Someone updates a status by hand after checking another system
- Month-end reports are assembled from exports and checked twice
- A support agent cannot say why a withdrawal is pending without asking another team
- Adding a payment provider or a second brand means a new project
Questions to ask a vendor
- Is there one client record that CRM, platform and payment events all write to?
- Is onboarding status derived from real verification events, or a field someone maintains?
- How does a deposit or withdrawal reconcile against the platform balance?
- How are IB structures and commissions configured, and who can change them?
- Can you see who changed what, with a reason attached?
- How is a new provider connected, and what happens when a delivery fails?
What is the difference between a forex CRM and a back office?
In practice they overlap. CRM usually means the sales and relationship side: leads, communication and follow-up. Back office usually means operations: funding, accounts, compliance records and reporting. A broker system should treat both as views of the same client record, not as two products that exchange files.
Can a back office work with MT4 and MT5 at the same time?
It should. Accounts on both platforms attach to the same client record, provided the system reads each platform through its own manager interface rather than through exports.
Do I have to replace my current systems?
Not necessarily. A back office can connect to the platform, payment providers and verification vendors you already use. Replacing a system is sometimes the right answer, but it should be a decision, not the price of entry.
How relioops approaches it
The relioops broker CRM and back office keeps each client on one record that every team reads from: onboarding and KYC, trading accounts, deposits and withdrawals, IB and affiliate operations, communication and reporting. Payment providers, verification vendors and the trading platform write to the same history, so the numbers in a report are the numbers the desk saw.
It connects to the systems you already run instead of replacing them first. If you want to see how it would sit on your setup, bring one client whose record disagrees across your systems today and we will walk through it.
